Online booking and appointment system: how to choose?
Small business, SME or organisation with several sites: how to choose a booking system that fits your activity, your organisation and your budget in Switzerland.
A customer wants to book an appointment at 9.30 pm. Your business is closed. They visit your website and look for available times, but only find a phone number or a contact form. They put it off, or turn to another business.
An online booking or appointment system lets your customers choose a slot, book a service or check availability without waiting for your office to open. But a small business with a few appointments a week, an SME coordinating several staff and an organisation with several sites do not need the same tool.
Online booking and appointment scheduling: what is the difference?
The two terms are often used together, but they do not always mean the same thing.
Online appointment scheduling lets a customer choose a slot to meet a professional or receive a service. The system takes into account service durations, staff hours and absences. It is especially suited to:
- hair salons, beauty institutes and wellness centres;
- practices, fiduciaries and professional services;
- garages and repair workshops;
- service providers who work at their customers' premises.
Online booking is more about a place, a piece of equipment or a resource available for a given period, often with a payment or deposit:
- a table in a restaurant;
- a bike or rental vehicle;
- a meeting room;
- an activity, a workshop or a place on a course;
- event equipment.
For businesses with several teams or jobs to coordinate, a calendar is not always enough. Scheduling software connects customer requests to your internal organisation: staff, travel, equipment and job tracking. The key is to separate what the customer should be able to book from what your business needs to organise.
Which system for which size of business?
For a small business or freelancer, the priority is a simple solution that is easy to use and affordable. A hair salon in Fribourg, for example, mainly needs:
- an online appointment calendar;
- automatic confirmations and reminders by email or SMS;
- the option to change or cancel an appointment;
- an interface designed for phones.
For an SME, the challenge goes beyond appointments. A cleaning or maintenance company working in several municipalities of the canton of Fribourg also has to assign jobs to its teams, track their progress and pass the information on to invoicing. The system then coordinates customers, teams and administration.
An organisation with several sites also needs:
- several calendars and sites in one tool;
- access rights by role;
- synchronisation with internal tools (CRM, management software);
- dashboards and statistics;
- traceability of operations.
Whatever the size, the best solution is the one that supports the way you work without complicating your organisation.
The features to look for
- Up-to-date availability: a booked slot is blocked immediately to avoid double bookings, taking each staff member or piece of equipment into account.
- Automatic confirmations and reminders, which reduce forgotten and missed appointments.
- Changes and cancellations by the customer, on the conditions you set.
- Assigning each booking to a person, a team or a site.
- Online payment of a deposit or the full amount: in Switzerland, Twint and cards are often expected.
- A connection with your existing tools (invoicing, CRM, scheduling) to avoid entering data twice.
- A simple flow on phones, with no unnecessarily long forms.
Off-the-shelf software or a custom solution?
There are many booking platforms. They are often a good starting point, but some businesses work in ways that do not fit them. The main differences:
- Set-up: quick for existing software; a design phase is needed for a custom solution.
- Features: predefined on one side; tailored to your needs on the other.
- Integration with your tools: depending on available connectors; or developed specifically.
- Cost: usually a subscription; or a development followed by ongoing support.
- Evolution: depends on the vendor; or on your needs and the project follow-up.
An existing solution is enough for standard needs: appointments, calendar, notifications. A custom solution makes sense when you have specific rules, several resources at once, or a flow closely tied to your organisation. A rental business that has to check equipment availability, prepare orders, handle returns and track payments is a good example.
The goal is not to build software at any cost, but to avoid paying for a solution that does not fit your business. Our guide custom or off-the-shelf software explains this choice in detail.
How much does a booking system cost in Switzerland?
The cost depends on the number of users, the features, the booking volume and the level of customisation. When comparing, look beyond the advertised price:
- the monthly or yearly subscription;
- the number of staff and calendars included;
- per-booking fees and payment commissions;
- paid SMS notifications;
- set-up and training;
- maintenance, support and updates;
- integration with your website and tools.
Our advice: compare the total cost over three years, not just the first month's subscription.
As a benchmark, at Edelmesh a booking and appointment system built for your business costs from CHF 2,499, at a fixed price written in the quote, and is delivered in 2 to 4 weeks. It belongs to you, with no commission on your bookings.
Can it be added to your website?
Yes, there is no need to rebuild your whole website. There are three approaches:
- a link to an external platform: easy to set up, but the customer leaves your site;
- a module built into a page of your website, consistent with your brand;
- a system designed entirely around your business and connected to your internal tools, or even a mobile app for your customers.
Online booking and visibility on Google
Someone looking for a service in Fribourg, Bulle or Romont wants to find the services, opening hours and a way to book quickly. A clear booking button on your website shortens that path. Depending on your Google Business Profile's eligibility, you can also add a booking link there.
A booking system does not guarantee a better position on Google. It does, however, make your website more useful for visitors who are already interested in your services.
Data protection
Booking software processes personal data: name, contact details, appointment date, sometimes more depending on the sector. Before choosing, check:
- where and how the data is hosted;
- who can access it;
- security measures and access rights;
- export and deletion options;
- retention and transfer rules.
In Switzerland, the Data Protection Act (nFADP) requires information and transparency, among other things. Hosting in Switzerland is an advantage, but does not guarantee compliance on its own. To find out more, see the website of the Federal Data Protection and Information Commissioner (FDPIC), or our nFADP checklist for SME websites.
Two concrete examples
A bike rental: the customer chooses a date, a duration and an available bike, pays a deposit, then the business prepares the equipment. This is what our Vélos Sarine demo shows (fictional business), to try in two minutes.
A heating and plumbing company: appointments are the entry point for requests, but jobs then have to be scheduled, technicians informed and invoices sent. Connecting appointments to business software means nothing has to be entered twice. This is what our Calora demo shows.
Questions to ask before choosing
- Do my customers book an appointment, a service, a place or a piece of equipment?
- How many staff or sites need to be managed?
- Does the system need to work with existing software?
- Do I need automatic confirmations and reminders?
- Should customers pay when they book?
- How will changes and cancellations be handled?
- Will my needs change as the business grows?
Frequently asked questions
What is the best appointment software for a small business?
It depends on your services and the number of people to manage. For simple needs, an existing booking calendar may be enough: check ease of use, reminders and total cost above all.
Is a booking system suitable for an SME or a large company?
Yes. As soon as several sites, teams or resources are involved, you need more advanced features: access rights, synchronisation and statistics.
Can appointment software work with Twint?
Yes, provided the system integrates a compatible payment provider. The customer then pays the deposit or the full amount by Twint or card when booking.
How long does it take to set up a booking system?
A few days for a standard tool. For a custom system at Edelmesh, allow 2 to 4 weeks, depending on the number of resources and rules.
